Send out visitor invitations

The contact information you provide on the platform will remain strictly confidential. The medFEL team does not have access to it and will not be able to use it for any subsequent communication. 
For your staff members, please order exhibitor badges. 

  1. Click on "Import guests". 
  2. Download our excel template and enter your contact list to make sure the upload is done properly.
  3. In the "local" column, specify the language spoken by your contacts under the following template: "fr" for French speakers, "en" for English speakers.
  4. You can choose to invite your guest one by one, you will just have to click on "Add guest"
Invitation emails will automatically be send every Thursday at 11 am, and everyday at 11 am from April 15.

Import guests

What's engagement?

The engagement is a score that is updated when one of your guests performs an action.

The higher the engagement score, the more actions the guest has performed.

The possible actions are:
  • Registration via the visitor badge request form
  • Opening an email
  • Click on a link in an email
Thus, this gives you an indicator of the interest shown by your contact in the invitation sent to them.

This column indicates the registration status of a guest.
There are different statuses:
  • "Imported": You have imported the contact but they have not yet been invited. Invitation emails are automatically sent by our services every Thursday at 11 a.m.
  • "Email sent": The person has been invited but didn't open the invitation email.
  • "Email open": The person has been invited, opened the invitation email but didn't click or download the visitor badge.
  • "Email clicked": The person has been invited. They opened or clicked on the invitation email.
  • "Registered": The person has registered for the event and has downloaded their badge to attend (via your invitation email or on their own).
  • "Email blocked": Your guest's email is not working. Please check if the email address is correct.
  • "Not finalised": The person started his registration but did not finalize it. They did not receive her badge to attend medFEL.
Your guests might already have an ongoing status "Email open" or "Email sent" right after your import. It means they have already been invited by another exhibitor. They won't receive the invitation again, but you can track their status within your guest list.
